We are an accounting firm, and we are looking to build a webpage and system which will automatically generate calls and/or emails to our clients to remind them of certain dates and deadlines.

Users will be able to go to a webpage, check off the dates and reminders they want to be notified about, enter their information, select if they want a voice, SMS or email reminder (or multiple), enter their phone number, email or SMS destination and then push submit.

There should be a confirmation call, email, SMS or all three.

Calls will be made through http://www.voiceshot.com using their API. Documentation about the voiceshot API interface is available at http://www.voiceshot.com/docs/ivrapiv4js/ We are open to using another system, but we have an account and we like their system. Each call will have a pre-recorded intro and then a Text-to-speech reminder. The caller should have the option to opt-out and cancel all future reminders. They should also have the option to press zero and calls will then be transferred to our office.

We want to give the user the ability to choose the time of day they want their voice reminder, and let them know that everything is in PST (pacific time).

Emails will be sent with the reminder in the body. We want to make sure the emails have a low SPAM profile. They should be sent from Selwyn Gerber “sg@gerberco.com” and be sent to reciepents full name. Format should be all text based.

SMSs are more simple that you might think. SMS notification will be done using TeleFlip technology by sending an email to XXXXXXXXX@teleflip.com (where XXXXXXXXXX is the user’s US mobile phone). The email-to-SMS message needs to be less than 160 characters, text only. From a developers prospective, this isn’t actually an SMS, but rather an email to an email-to-sms bridge. No cost, no complications.

The look and feel of the site should match that of www.gerberco.com; podcast.gerebrco.com; send.gerberco.com; etc.

The list of reminder dates should be presented to the client as a list with checkboxes next to each:

31-Jan Quarterly Payroll Returns due
31-Jan Beverly Hills City Business License
31-Jan W-2 and 1099 must be sent to recipient
28-Feb Los Angeles City Business License
28-Feb w-2, w-3, 1099, 1096 due to government
15-Mar Corporate tax filing or extension are due FOR CALENDAR ONLY
10-Apr LA County Prop Taxes due
15-Apr Estimated tax payment
15-Apr IRA CONTRIBUTIONS
15-Apr FTB MINIMUM TAX payment for Cal Yr entities
15-Apr Individuals, partnership and trust returns or extensions are due
30-Apr Quarterly Payroll Returns due
15-Jun Estimated tax payment
15-Jun FOREIGN ACCOUNT FORMS
31-Jul Quarterly Payroll Returns due
31-Jul 5500 PENSION FORMS
15-Sep Estimated tax payment
15-Sep PENSION CONTRIBUTIONS FOR CALENDAR ENTITIES
15-Sep Extended Corp Deadline
15-Oct Extended Ind, Trust and Partnership Deadline
31-Oct Quarterly Payroll Returns due
10-Dec LA County Prop Taxes due
31-Dec STATE ESTIMATES AND PROPERTY TAXES IF NO AMT

The system should send the reminder every year on the dates selected.

Admin functionality needed: We need to ability to delete users, modify their notifcation precrfences, add users without confirmation; run basic reports.
